When I took over purchasing for a 120-person engineering firm in 2022, I thought I had a handle on everything: office supplies, IT gear, even the occasional specialty machine. But nothing prepared me for the day my boss said, “We need a trash compactor for the new warehouse. And by the way, you’re in charge of the installation.”
That’s when I discovered you don’t just buy a piece of equipment—you have to figure out how to get it where it needs to go. And sometimes that means working with a crane.
In early 2024, we were expanding our storage facility. I’d sourced a heavy-duty trash compactor from a reputable vendor. Specs said 8,000 pounds. I assumed the building’s loading dock could handle it with a pallet jack and a ramp. “We’ll roll it right in,” I told the operations manager.
I didn't verify. Turned out the door to the compactor’s final position was 10 feet off the ground, with no ramp wide enough. The only way in? A 20-foot-high bay door that faced an unpaved gravel lot. We couldn’t back a truck up to it, and a forklift couldn’t reach the height.
So glad I called a local crane rental company before the shipment arrived. Almost went ahead with the delivery and hoped for the best, which would have meant a $1,200 return fee plus lost installation time. Learning never to assume “same specs” means identical access requirements after that incident.
My first thought was: “Get the biggest crane that fits in the lot.” The rental company recommended a Manitowoc 4100W crawler crane—a 200-ton lattice-boom truck that handles 8,000 pounds like it’s nothing. But I hesitated. The rental was $4,500 for a day, and I had to justify it to finance.
In the end I went with the 4100W, but only after spending two hours on the phone with the operator, walking through the site layout, soil conditions, and safe lift radius. Looking back, I should have budgeted for a site survey upfront. At the time, I figured a quick phone call would be enough. It wasn’t—we discovered the gravel lot had soft spots that required steel plates. That added another $800.
The lift itself took 45 minutes. The crane operator, a guy named Mike with 20 years experience, told me: “The surprise isn’t the weight—it’s the swing radius and the wind.” He was right. Never expected a moderate breeze to cause a delay, but when the compactor swung near the building’s edge, they stopped and waited 15 minutes for the gusts to drop.
Six months later, we needed to install a new HVAC unit on the roof—a 12,000-pound package. This time I was ready. I called the same rental company and asked for a Manitowoc 2250, a 300-ton crawler with a longer boom. The operator asked, “Why the 2250 for 12,000 pounds?” I explained: the roof was narrower, and the 2250’s tighter tail swing allowed us to position the unit without tearing off gutters. That was a lesson from the first job.
We didn’t have a formal pre-lift checklist process back then. The third time we ordered equipment and something went wrong—a miscommunication about rigging hardware—I finally created a 12-point verification list: crane capacity, rigging inspection, lift path clearance, ground conditions, wind limits, personnel positions. Should have done it after the first mistake.
That checklist has saved us an estimated $8,000 in potential rework over the past year. Five minutes of verification beats five days of correction.
You might wonder where a “balloon pump” fits in all this. Three years ago, our marketing team wanted a custom inflatable arch for an outdoor trade show. I sourced a commercial balloon pump that turned out to be more powerful than expected—it blew the seam on the first attempt. That taught me the same lesson: check specs before committing. We now have a prevention-over-cure mindset for every purchase, from small pumps to multi-ton cranes.
